A fixed fee charged for completing a defined scope of work, regardless of the number of hours it takes, based on the total deliverables agreed upon in the project scope.

How to Price a Fixed-Fee Project

Start with a time estimate: how many hours would this project realistically take, including planning, execution, revisions, and administration? Multiply by your effective Hourly Rate, then add a risk buffer of 15–25% for unexpected complexity. Factor in any direct costs (stock assets, subcontractors, software). Consider the value of the outcome to the client — if your $3,000 website will generate $50,000 in leads, $3,000 may be underpriced regardless of your hourly rate. Review your estimate for similar past projects to calibrate accuracy. Over time, tracking estimated vs. actual hours helps you price future projects with more precision.

Managing Scope on Fixed-Fee Projects

Fixed-fee projects require a tightly defined Statement of Work with explicit inclusions and exclusions. The more precisely you define scope upfront, the less you're exposed to Scope Creep. When writing the SOW, include the number of revision rounds covered, what constitutes a revision vs. a new direction, any dependencies on client-provided materials, and what happens if those materials arrive late. Build in a formal change order process for anything outside scope. Every change order adds to the contract value, making well-defined SOWs a tool for scope protection and revenue protection simultaneously.

When Project Rates Work Best

Fixed-fee pricing works best when the scope is clearly defined and you have enough past experience to estimate accurately. It's ideal for: repeatable deliverables (e.g., logo design, landing page, financial audit), short-turnaround projects with clear acceptance criteria, and clients who budget project-by-project rather than on time. It works less well for exploratory or open-ended work where requirements evolve. In those cases, consider Value-Based Pricing (pricing by outcome), a hybrid approach with hourly pricing for discovery and fixed pricing for execution, or a Retainer arrangement for ongoing work without fixed scope.
