Billing Cycle

The recurring time interval — typically weekly, bi-weekly, monthly, or quarterly — at which a business invoices clients for goods or services delivered during that period.

Credit Note

A document issued by a seller that reduces the amount a buyer owes, typically used to correct an overcharge, acknowledge a return, or apply a discount after an invoice has been issued.

Invoice

A document issued by a seller to a buyer that lists goods or services provided, their quantities, and the amount owed as payment.

Invoice Aging

A method of categorizing outstanding invoices by how long they have been unpaid, typically grouped into 0–30, 31–60, 61–90, and 90+ day buckets.

Invoice Factoring

A financing arrangement in which a business sells its unpaid invoices to a third-party company (a factor) at a discount in exchange for immediate cash.

Invoice Number

A unique identifier assigned to each invoice that makes it easy to track, reference, and reconcile payments between a business and its clients.

Invoice Template

A pre-formatted document structure with standard invoice fields that can be reused and customized for each new billing transaction.

Pro Forma Invoice

A preliminary invoice sent before goods are delivered or services are fully completed, giving the buyer an estimated breakdown of expected costs.

Purchase Order

A formal document issued by a buyer to a seller that authorizes a purchase and specifies the items, quantities, agreed prices, and delivery expectations.

Receipt

A document issued by a seller to confirm that payment has been received from a buyer, serving as proof of the completed transaction.

Recurring Invoice

An automatically generated invoice that is sent to a client on a regular schedule — weekly, monthly, or quarterly — for ongoing services delivered at a consistent rate.

Remittance Advice

A document sent by a buyer to a seller along with or following a payment, specifying which invoices the payment covers and the exact amounts allocated to each.
